This guide walks users through processing incoming emails, validating extracted data, and creating or updating project records directly from the Baucore Inbox workspace.

1. Access the Inbox

Go to the Baucore Inbox app in Salesforce. The Inbox Navigator displays every email processed through Outlook (the Baucore Inbox for Outlook add-in) or the Email Service.

Use the filters at the top to narrow results by date, user, intent, or email type. The Navigator also shows:

  • A search bar and a Save search option for recurring searches
  • The list of emails in the inbox, grouped by relative date
  • An extraction progress indicator per email — New, In Progress, Extracted/Error, or Completed
  • The intent(s) identified in each email, its original sender, and the timestamp extraction started
  • A detail area that shows full information once you select an email

2. Review email entries

Each record appears as an Inbox Activity Card showing the sender, subject, and current processing stage (New, In Progress, Extracted, Completed). Click any card to open the Inbox Workspace view, which shows:

  • The email header, original sender, and identified intents
  • The original email content alongside the extraction results
  • A Create New Project button
  • A Participants section with a Create Participant action and the roles identified for each participant
  • Additional extracted details such as project location and measurements
  • Any other project identified in the same email

3. Validate extracted data

Within the Inbox Workspace, review the extracted fields — contact details, project name, intent, address — and adjust or correct any values using the inline edit fields.

  • Select Link to Existing Project to connect the email to an existing Salesforce record, or
  • Choose Create New Project to automatically create a new record.

Pressing Create New Project triggers the standard New Project flow. If the extraction identified multiple projects, each is handled separately. Once a project is created, a cloud icon appears next to its name — click it to open the linked record.

4. Intent & Flow actions

The Intent field identifies the type of inquiry (for example Request for Quote, Product Info, Meeting). If the intent is linked to a Salesforce Flow (see the Admin Setup Guide), you can start that process directly from the action button — the flow mapped to that intent is highlighted with a magic-wand icon, and any other mapped flows are available from the drop-down list.

Once everything on an email has been processed, mark the extraction as complete by clicking the check mark on the card.

Use the Date filter for relative time ranges (for example “Last 7 days”), and combine it with other filters — user, intent, email type — to locate specific messages. The search and filter bar includes:

  • Email title and recipient (“To”)
  • The original sender’s name — for a forwarded (FWD) message, this shows the original sender, not the person who forwarded it
  • The original sender’s email address
  • The user who started the extraction, with a Filter by Me quick option to select the current logged-in user
  • Intent, status, and a date interval filter
  • A Search button to apply the filters
