Auto Update Project Phase

Taskadmin

Baucore can automatically change a Project’s phase once the corresponding date is reached. This feature takes over the manual task of tracking a project and its status — see Use Project Status and Recommendations to ensure high efficiency — so reps don’t have to remember to advance the phase by hand.

Example

A sales rep enters the Tender Date. As soon as that date is reached, the Project Phase automatically changes from Design to Tender.

Activate the Apex scheduler

  1. Go to Setup → Apex Classes → Schedule Apex.
  2. Enter the job name, the execution frequency with a start and end date, and a preferred time. Once a day is the recommended cadence.
  3. Enter ProjectPhaseUpdateScheduler in the Apex Class field.
  4. Click Save.

Activate the feature

  1. Go to Setup → Custom Metadata Types, then click Manage Records on Baucore Setting.
  2. Click Edit on Project Auto Phase update.
  3. Set Value to true.

Set the batch size (optional)

This setting is optional, and only necessary if a lot of automation runs on Project updates and you want to lower the number of Projects updated in a single batch.

  1. Go to Setup → Custom Metadata Types, then click Manage Records on Baucore Setting.
  2. Click Edit on CountAutoPhase.
  3. Set Value to the desired number.

The logic behind it

The next phase is determined by the formula field Phase check on the Project object:

After reaching date fieldChanges to phase
Design End DateImplementation Planning
Tender dateTender
Submission dateDecision

To keep this process running correctly, don’t change any default Project Phase API value names delivered by Baucore. Rename the labels instead, to suit your business needs.
