Project Watch Overview
Project Watch is a feature in the Baucore managed package that automatically monitors external public data sources for changes to your construction projects. When new information is detected — updated project details, new participants, project stage changes, references, files, or other attributes — the system generates suggestions on the Salesforce record for review.
Key benefits
- Stay informed about project changes without manual research.
- Accept or reject suggested field updates directly on the record.
- Ignore a field suggestion so it isn’t proposed again for the same field.
- Discover new participants related to your projects.
- Track project stage progression from external sources.
- Access references, files, and extended attributes from connected providers.
Where to access it
The Watchlist Lightning App is available from the App Launcher. It typically includes tabs for Projects, Project Leads, Main Projects, Watch Records, Watch Record Runs, and Baucore Setup.
The Project Watch card
The Project Watch card appears on supported Project, Project Lead, and Main Project record pages.
| State | Description | User action |
|---|---|---|
| Not Watched | No watch record exists for this record | Click Add to Watchlist to start monitoring |
| Watched | The record is actively monitored | Review updates, references, files, and further attributes |
| Paused | Monitoring is temporarily stopped | Click Resume to switch the watch back on |
| Failed | The last run failed | Review the error details and click Retry |
Adding a record to the watchlist
- Open a supported Project, Project Lead, or Main Project record.
- Find the Project Watch card.
- Click Add to Watchlist.
- A Watch Record is created and the card changes to the watched state.
How monitoring works
- A watched record is picked up by the Watchlist scheduler.
- The scheduler creates watch runs only when the configured Project research frequency interval has elapsed for the record’s owner.
- The external provider returns the latest project data.
- The package compares the provider values with the current Salesforce values using the configured field mappings (see Set Up Baucore Agents Field Mapping).
- Differences create Watchlist suggestions, possible-project suggestions, and related update artifacts such as references, files, and further attributes.
The scheduler is a shared, org-level background job. Turning it on or off affects all Watchlist processing in the org, not just one user.
Review Updates tab
When the watchlist detects changes, a badge count appears on the Review Updates tab.
| Suggestion type | What it shows | Action on accept |
|---|---|---|
| Field Update | Current value compared with the proposed new value | Updates the Salesforce field |
| New Participant | A suggested company or person to relate to the project | Creates or links the participant record and adds it to the project |
| Possible Project | A candidate external project match | Stores the accepted candidate as the preferred external project for future runs |
Review actions:
- Accept applies the change.
- Reject dismisses the suggestion.
- Ignore (field suggestions only) prevents the same field proposal from being recreated until the underlying data changes.
Use View History to see previously reviewed suggestions, including who reviewed them and when they were accepted, rejected, or ignored.
Other tabs
- Further Attributes — extended project attributes grouped by source.
- References — external reference URLs.
- Files — project files by category, such as Plan, Specification, Addenda, Rendering, and Site Photo.
Typical workflow
- Add a record to the watchlist.
- Wait for the scheduler to create and process a watch run.
- Open the Review Updates tab when new suggestions are available.
- Accept, reject, or ignore the suggestions that are relevant.
- Review the related references, files, and further attributes as needed.
