Spec Text
Spec Text automates one of the most important sales motions for a building material manufacturer: getting your products written into a project’s specification document before a competitor’s are. A Sales Rep selects which products to include from a Product tree, and Baucore composes an email to the specifier (architect, planner, engineer) with the right specification text and collateral files already attached.
How it works
- Start a Spec Inquiry — from a Project, Contact, or Participant record, via the New Spec Inquiry quick action.
- Select products from a hierarchical product tree. Only products with either specification text or an attached file for the chosen language are selectable — the rest appear as reference/navigation nodes only. If the exact requested language has no spec text, Baucore falls back to the org’s configured default language automatically (for both the text and the product name/description translation).
- Review the email — recipient, CC/BCC, subject, and body, built from an email template with merge fields for the Contact and Project.
- Send — the email goes out with the selected products’ spec text and every attached collateral file (from both the product and its spec-text record) as attachments. Once sent, the Spec Inquiry becomes read-only.
Setting it up
- Setup Product and Product Hierarchy — spec text is organized by Product, and products can be nested into a parent/child hierarchy shown as a tree in the selection UI.
- Setup Spec Text Collaterals — attach files to products (language-agnostic collateral, e.g. a CE mark) and to individual Spec Text records (language-specific collateral, e.g. a translated technical data sheet); both sets merge together when a product is selected.
- Setup Email Template for Spec Text — the templates the compose screen offers, with merge tokens for Contact and Project fields.
- Send Spec Text — the day-to-day flow reps use to compose and send one of these emails.
Fallback language
Set the org-wide fallback language in Baucore Setup (SpecInquiryLang). If a product has no spec text or translation in the language a Sales Rep requested, Baucore uses this fallback for both the text and the product name/description — and only falls back to showing the product as non-selectable if neither language has any text or files at all.
